From 2026, both MGAC ranges use a digital sign-in system to log your visits to the range. Signing in is a requirement for all archers and visitors (including parents) – all people who are physically present on the range.
Everyone forgets from time to time – if this is you, please consider using auto-check-in and auto-check-out on your device! If you repeatedly don’t sign in, you’re breaching the conditions of your membership and problems will result.
About the sign-in system
We use EVA Check-in, a product from NZ-owned and operated tech company Theta. They support us with a non-profit discount. Thanks, Theta!
With EVA Check-in, the club knows who is on each range at all times for health and safety purposes. This also helps the club plan range use based on past busy periods.

Who needs to sign in
Everyone! Everyone who is physically present on the range. This includes parents, visitors, spectators, siblings, archers from other clubs, etc.
The only exclusion is participants in our Saturday morning beginner courses, as their attendance is tracked separately.
If you are a youth member (under 18 years old), our range rules require that your parent or caregiver is present during your range time. We suggest they sign you (and themselves) in and out using their smartphone – we recommend using the EVA Check-in app (described below).

- Your name
- Your phone number (as 02xxxx, no country code or spaces please!) – or your family member’s phone number, if you do not have your own
- Your email address
- For guests – your photograph, only on your first visit. This is because you are not a member yourself.

Your data is matched against our membership system. The check-in process checks names and phone numbers against our membership database to find your membership record.
This means each member needs to check in with their own name and details, and each non-member parent needs to check in as themselves as a guest. In many cases, if you are a parent of a youth archer, you might have created your child’s MGAC membership using your adult contact information. Please check that the details in our membership system are correct for your family so that you or your archer can check in easily.
Data retention is described below (see “About your data”).
Ways to sign in – from fastest to slowest
There are many ways to sign in to the range. Some are better suited to families with multiple people attending at once.
EVA Check-in has an app available for iOS and Android devices. If you are a frequent visitor to the range, this will definitely be the fastest and easiest way for you to sign in with the least effort. If you have multiple family members, you can set up profiles for each family member, and then checking in and out becomes as easy as selecting their name and clicking “Check in”.
Optionally: You can grant the app location permissions and use automatic check-in and check-out when you arrive and leave the range. This is a hands-off automatic way to sign in but works best for one person. If you have multiple people to check in, you will probably prefer to check each in separately on the app without using automatic check-in/check-out.

Scanning the QR code opens a web browser page that prompts for your details. Depending on your phone settings, your browser might save these and fill them automatically for you the next time. (If you get tired of typing in the same details each time, we recommend using the phone app instead. ⬆️)
QR codes are on the outdoor range door, the outdoor range noticeboard, the indoor range table, the indoor range back wall, and on each check-in iPad’s screen.
No phone? No problem! Each range has a tablet kiosk where you can check in and check out. You will first be asked for your phone number to retrieve your membership record. If you use the same number for multiple members/visitors, after checking in the first person, you’ll need to press “Not you?” to enter details manually for the second person. The second person then needs to enter all of their details. (Getting tired of this typing? We recommend using the phone app instead. ⬆️)
I’m having a problem signing in
When checking in, if you see a message saying “There is a problem with your membership status”, please confirm that you have used the exact details as they appear on your MGAC TidyHQ membership (First and Last name, email and phone number as “02xxxx”). You can check and update your membership details here. Don’t worry; you will still be signed into the range. Please email checkinhelp@mgac.org.nz if you have any further issues.
The kiosk is having a problem
This can happen from time to time! Please politely let us know in the club’s WhatsApp Community. Most problems can quickly be resolved remotely (but please remember that we can’t always respond immediately).
In the meantime, please use the QR code scanner from your device, or ask another member to help check you in – they can scan the QR code for you and help you enter your membership details.

About your data
Your check-in uses the same information as your MGAC membership record (name, phone, email).
Your data is stored securely at all times. Individually identifiable information is retained in EVA Check-in for a maximum of 60 days, after which it is automatically deleted. Aggregate information such as the numbers of members present at the ranges is retained by MGAC as long-term range usage data.
Photos are retained with other check-in data for a maximum of 60 days. Photos are accessible only to the MGAC Membership Coordinator and MGAC IT Administrator. Photos may be requested by the MGAC Committee as part of investigating incidents related to the club’s rules.

About auto check-in/check-out
Enabling location features when prompted on the EVA Check-in mobile app means you won’t need to think about checking in to the ranges again.
That sounds like magic. How does it work?
Auto check-in is based on a geofence – a virtual boundary drawn around our location. The EVA Check-in mobile app tracks when you enter and exit the geofence. The app is efficient and does this with little effect on your phone’s battery level.
How to enable this:
- The next time you visit the range, open the EVA Check-in phone app and scan the range’s QR code.
- You’ll then get prompted to enable location features. It’ll look something like the screenshots below.
- Choose the Auto check-in and out options as you prefer.
- Then follow the on-screen instructions to provide permissions, and you’re all set.
Enabling the location features is slightly different across different operating systems.
What permissions does the app require?
The EVA Check-in app needs access to your location in the background to detect when you arrive and leave. It also uses “Motion/Fitness” information to save battery life by only checking for location updates when you are on the move. The EVA Check-in app needs internet access to work (wifi or cellular). It does not require Bluetooth.
Does EVA Check-in record my location?
The EVA Check-in mobile app does not transmit your location to the EVA Check-in server, just whether you entered or left the geofence. For more details, see the EVA Check-in privacy policy. The app logs recent location information locally on your phone for troubleshooting purposes. Only you can access and share this information.
Is it compulsory to check in and out automatically?
No, you don’t have to use this auto check-in/check-out feature. You can still check in by scanning the QR code or using the kiosks.
However, everyone must check in (including archers and spectators)—it helps us manage our health and safety obligations. Auto check-in just makes it easier—it’s one less thing to remember.
How accurate is it?
You might be used to seeing an accurate dot on Google Maps. EVA relies on background location data, which is less precise and less battery-hungry. This means geofences around the range are generous (100m radius), and you may get check-in/out notifications a few minutes after you arrive/depart.
